All proposals must be submitted electronically for consideration. Late or incomplete submissions, as well as sales or product-focused presentations, will not be reviewed. Only proposals that fully comply with the published guidelines will be considered. Submitting a proposal is simple—review the guidelines, complete the form, and submit by the deadline.
The 2026 NAAIA National Conference will take place September 22–24, 2026, in Charlotte, North Carolina, and is expected to attract approximately 1,500 attendees. The conference will feature more than 150 speakers delivering content across professional development, inclusion, insurance, and risk management disciplines.
Session Formats & Lengths:

60-Minute Sessions: Interactive workshops designed to educate and encourage discussion, participation, and engagement.

20-Minute Sessions: Trade Show | Career Expo "NAAIA Spark" Stage presentations highlighting innovative, creative, and forward-thinking solutions. These TED-style sessions are limited to a maximum of ten (10) PowerPoint slides (slides are optional).
If a submission is not selected for a 60-minute session, it may be considered for a 20-minute presentation. Submitters may also opt to be considered for speaking opportunities at other NAAIA events throughout the year.
Submission Requirements & Expectations:

Proposals must include a clear and compelling statement of educational objectives.

Submissions must be well written, clear, and grammatically correct. Poorly written proposals will be rejected.

Edits may be made to submissions up until the posted deadline.

Proposals are reviewed and accepted on an individual basis. While panel recommendations are welcome, NAAIA will determine final session format, speakers, and participants.

NAAIA maintains a strict policy of one presenter per company or organization per session.

All accepted sessions will be assigned a specific time slot, which cannot be changed once confirmed.

Session attendance cannot be guaranteed. If registration is low, NAAIA will contact the presenter to determine next steps.
Content & Branding Standards:
All sessions are created by and for NAAIA and are intended to deliver relevant, educational content—not to promote individual presenters, organizations, or products. Accordingly, NAAIA reserves the right to modify session titles, descriptions, length, number of speakers, or other elements to align with conference goals.

All presentations must use the official NAAIA branded presentation template.

Company logos, links, or branding are not permitted outside of approved NAAIA session sponsor marks.

Presenters may share their LinkedIn profiles and contact information within the Conference App
Additional Policies:

NAAIA reserves the right to record or livestream sessions as deemed appropriate.

Acceptance of the NAAIA Guidelines and Speaker Agreement is required. All speakers must sign this document.

Speaker registrations are not complimentary. Speakers are encouraged to register for the full conference or attend on the day-rate of their session.

Speakers attending only to present may receive a session-only badge.

Registered speakers enjoy full access to conference events, meals, sessions, the gala, and the exhibit hall.

Failure to comply with these guidelines may result in session cancellation or reassignment.
Review Process:
All submissions are reviewed by the NAAIA National Conference Planning Committee, with support from the NAAIA National Board, staff, and contractors. Decisions are based solely on content relevance and attendee interest.
Important Note on Sales Content:
Please note that all proposals and requests to present are submitted and reviewed on an individual basis. In the event that a selected presenter changes organizations, a written request for a substitute may be submitted to the NAAIA Conference Planning Committee. NAAIA also reserves the right to request substitutions at its discretion. Approval of any requested substitution is not guaranteed, and NAAIA reserves the right to decline such requests
